Handling of Personal Information

Act Bureau Inc. (hereinafter referred to as the "Company") implements and maintains the following personal information protection policy to ensure the appropriate use and management of personal information.

1. Purpose of Personal Information Protection

Our principal business is undertaking communication-related work including graphic design, web design, blister pack manufacturing, and event planning and operation. We consider the appropriate protection of personal information entrusted to us by all individuals whose information we hold to be an important responsibility. To handle personal information appropriately, we have established the following protection policy and strive to protect personal information.

2. Acquisition of Personal Information

When acquiring personal information, we collect only what is necessary to achieve the stated purposes of use. We also collect information by lawful and fair means.

3. Use of Personal Information

Personal information acquired by the Company is managed appropriately, and we do not handle personal information (use, provision, etc.) beyond the scope necessary to achieve specified purposes of use. We take measures to prevent use for purposes other than those specified.

4. Appropriate Management of Personal Information

To ensure the accuracy and security of personal information, we implement security measures and other safeguards to reliably prevent unauthorized access, leakage, loss, or damage to personal information. When improvements are required based on examples of security incidents in the market, customer requests, or other factors, we promptly correct issues and work to prevent recurrence.

5. Compliance with Laws and Regulations

We comply with laws and regulations related to personal information, guidelines established by the government, and other norms. We continually align our management systems with these laws, guidelines, and norms.

6. Continuous Improvement

Through internal audits and reviews of our personal information protection management system, we continuously improve our management systems and maintain them in the best possible condition.

7. Response to Complaints and Consultations

We maintain an appropriate system for complaints and consultations regarding personal information and respond in accordance with our manuals.

3. Procedures for Requests for Disclosure, etc.

Please contact us as described in section 1 above. We will process disclosure, etc. of your personal information by one of the following methods.

(* "Disclosure, etc." means notification of purpose of use, disclosure, correction, addition or deletion, suspension of use, disclosure of records of provision to third parties, erasure, and suspension of provision to third parties. The same applies below.)

(i) By mail
We will send a "Personal Information Disclosure Request Form (for applicant)"; please mail it with a copy of documents that can verify your identity (Note 1). After identity verification, we will respond to your request for disclosure, etc. If you are an agent, please attach documents for agent identity verification (Note 2). When mailing, please black out any portion showing your registered domicile.

(ii) In person at our office
Please bring documents that can verify your identity (Note 1). After identity verification, please complete the "Personal Information Disclosure Request Form (for applicant)" and we will respond to your request. If you are an agent, please bring documents for agent identity verification (Note 2).

In principle, a document with a photograph, such as a driver's license, passport, health insurance card, or other official identification.

a. Legal representative of a minor or adult ward

* The "Personal Information Disclosure Request Form (for applicant)" will be destroyed by the Company after procedures by mail or in person are completed.

4. Specifying the Method of Disclosure, etc.

The person requesting disclosure, etc. may specify the Company's method of disclosure, such as provision by electromagnetic record. In principle, we will disclose information by the method requested by the individual.

5. Notification of Results of Requests for Disclosure, etc.

We will notify you in writing of the results of our response to your request for disclosure, etc., including any corrections made. If you have specified a method such as provision by electromagnetic record, we will in principle notify you by the method you requested.

6. Security Control Measures for Personal Information

To handle personal information more rigorously, we operate a personal information protection management system based on a personal information protection policy aligned with JIS Q 15001, with established personal information protection regulations and awareness of the external environment. In actual handling, we implement security control measures from organizational, personnel, physical, and technical perspectives.

7. Grounds for Non-Disclosure

We may not respond to requests for disclosure, etc. in cases corresponding to (i) through (vii) below. If we do not respond, we will notify you in writing of that fact and the reason.

  1. When the name and address on the "Personal Information Disclosure Request Form (for applicant)" do not match those on documents used for identity verification
  2. When the agent's name and address on the form do not match those on documents used for identity verification
  3. When the information requested is not retained personal data
  4. When disclosure would risk harm to the life, body, or property of the individual or a third party
  5. When disclosure would risk aiding or inducing unlawful or unjust acts
  6. When disclosure would risk harm to national security, or damage trust with other countries or international organizations, causing disadvantage in negotiations
  7. When disclosure would impede prevention, suppression, or investigation of crime or otherwise hinder maintenance of public safety and order

8. Fees

No fees are charged.
